Booking & Payment Policy
How quotes become confirmed journeys and how payments are handled.
1. Quote validity
Unless a quote states otherwise, a quotation is valid for 7 days. Prices and availability are not guaranteed until the required payment has been received and booking confirmation has been issued.
2. Standard payment schedule
The standard booking deposit is 30% of the total booking price. The remaining balance is due 60 days before departure. Bookings made within 60 days of departure normally require full payment.
3. Payment methods
Available payment methods are shown during the booking process or in the booking confirmation. Online card payments may be processed through our hosted payment provider. Payment transaction references may be retained for reconciliation and customer support.
4. Payment confirmation
A payment is treated as received when the payment provider or Rose Safaris Africa has confirmed successful settlement. A pending gateway transaction is not treated as final settlement until its status has been confirmed.
5. Outstanding balances
Customers are responsible for paying the balance by the deadline stated in the booking. Failure to pay by the deadline may result in supplier reservations being released and the booking being subject to the Cancellation & Refund Policy.
6. Payment failures
If a payment fails, customers may retry using an available payment method. A pending payment may be held while its status is being reconciled. Customers should not make repeated payments where a previous transaction is still pending without first checking the booking portal or contacting bookings.
7. Currency and bank charges
The booking currency and total price are stated in the quote or booking confirmation. Any bank, card, foreign-exchange or intermediary charges imposed by a customer's financial institution are the customer's responsibility unless expressly included in the quoted price.
8. Refunds
Refund eligibility is determined under the Cancellation & Refund Policy, applicable supplier conditions and mandatory legal rights.
This policy should be reviewed against the business's actual payment providers, currencies, supplier contracts and accounting procedures before final adoption.
